How to Add in Retake Portraits

"But I don't like my picture!!" – “Use my staff photo from 5 years ago!” – “I didn't know it was picture day!”

We all know both students and staff are likely to have retakes! Most photographers will have a retake day and a few weeks or so later, send you over the new portraits and hopefully an accompanying index file ("PSPA" – spreadsheet with student/staff names, grades, teacher info and the file name of the photo they took). *For more details on what an index is, click here!

At this point you may have already uploaded your MASTER/INDEX file from the original Picture Day. If so, you would follow similar steps to upload the retakes. 

 

If You Have Many New Images & a Retake Index:

  1. In Manage Photos, create a new photo category named Retakes. You can upload photos here once you create the category.
  2. Navigate to Manage People Data.
  3. Click on the blue bar - Upload Photos & Student Index
  4. In the first dropdown menu, click on your new Retakes folder
  5. Upload your retake index & new photos, then confirm your columns.
  6. Once uploaded, click on the Check Duplicates tab and (Confirm) Merge the student/staff information with the preferred photo.

 

 

If You Are Swapping Out a Few photos:

Edit Person Details
  1. Navigate to Manage People Data.
  2. Select the person whose photo you wish to update.
  3. You can change the photo by clicking on Change Photo button in the top left of the image.
  4. Select the retake portrait from your folder or search by the file name and hit Confirm New Photo.
  5. Edit and/or verify that all the person details are correct and click the blue Save button.
  6. Repeat this process for other students as needed.

Pro Tip: Always double-check that updates are reflected on the pages to ensure the most accurate information is displayed. Open the pages in the designer and click save to refresh the previews and reflect updated content.
