Best Way to Copy Content Across Spreads
Discover effective techniques for seamlessly transferring content between spreadsheets for improved efficiency and accuracy.
Table of Contents
When designing a yearbook, consistency matters. Whether you are creating student life spreads, sports pages, or club layouts, there will be times when you want to reuse multiple elements across several pages. Instead of manually copying and pasting each item every time, there is a smarter and more reliable solution: save the page as a template.
Why Not Just Copy and Paste?
Copying and pasting works for small adjustments, but it can quickly become inefficient when you are working with:
- Multiple text boxes
- Photo grids
- Background shapes
- Graphic elements
- Caption layouts
Even small shifts in placement can cause inconsistencies from page to page. Over time, those small differences add up and make your book look less polished.
Why Saving as a Template Is the Best Option
Saving your page as a template gives you a reusable foundation that stays exactly the way you designed it.
- Perfect Placement Every Time
- Saves Time Long Term
- Fully Customizable
- Always Available For Reuse
- Creates Design Consistency Across the Book
How to Save and Edit a Template
Watch this video for a step by step tutorial:
Step 1) On the page with the elements you want to copy, first save the entire page as a template by clicking the drop down next to the save button and selecting Save as a Template in the drop down

Step 2) Select the pages you want to save (left, right or spread). If you have content you want to copy on both sides of the pages, we recommend selecting the spread. Then name your template and click save.

Step 3) To find your template to edit, first click on layouts in the left menu and then My Templates on the top

Step 4) Now under templates, scroll to your custom template. Then hover over it so there is an edit and delete button. Click Edit to open the template editor

Step 5) On your template, you will now delete anything you DO NOT want to copy & paste onto a different page.
Step 6) Once you have only the elements you want to copy, click save on the top right

Step 7) Now on the ladder preview on the right, click on the page you want to paste onto.

Step 8) Under your custom templates, click on the one you just edited and then click on the page to place it.
Step 9) If prompted to select On Top or Replace, click On Top if you want to just paste your elements over what you already have on the page.
Step 10) Repeat on however many pages you want to paste the same elements onto.
*You can save as many custom templates as you would like. If you will be editing them, I recommend trying to name them specifically to make them easier to locate.
If you find yourself copying multiple elements from one page to another, take a moment to save that page as a template instead. It is more efficient, more consistent, and far easier to manage over time.
Templates are not just a shortcut. They are a design strategy that keeps your yearbook organized, professional, and stress-free.
